NDIA bulk claims, checked before you upload
Fully Funded Shifts builds the NDIA bulk payment request file from your approved shifts and checks every line against the file rules first, so you're not finding problems after the upload.
What's checked before you download
- Your registration numberSet on the file.
- NDIS number and support itemPresent on every line.
- GST codeOne of P1, P2 or P5.
- Claim typeA standard claim, or CANC, REPW, TRAN or NF2F.
- Cancellation reasonEvery cancellation claim has one of NSDH, NSDF, NSDT or NSDO.
- Quantity or hoursExactly one of them on each line.
If any line fails, the file isn't downloaded. You see "NDIA CSV validation failed — these lines would be rejected." with the lines to fix.
Checked long before the file
The file check is the last of three. Each shift's funding was checked against the service agreement budget when it was rostered, and every invoice line went through the invoice check, which catches double billing, missing support items, $0 lines and billed hours that don't match worked hours.
The result is fewer rejected claims, and less time spent working out why a payment request bounced.
Only NDIA lines go in the file
Lines for NDIA-managed participants go into the bulk claim file. Plan-managed and self-managed lines are invoiced to the plan manager or participant instead, so they never end up in the wrong place.
The file is a standard NDIA bulk payment request CSV, named with the date and time it was made, ready to upload in the NDIA provider portal. If you use Xero, you send the invoices to Xero first, which locks them, and then the file can be downloaded.
Questions about NDIA claims
Does it submit claims directly to the NDIA?
Not yet. It builds the bulk claim file and checks it, and you upload it in the NDIA provider portal.
Can it make cancellation claims?
Yes. Cancellation lines use the CANC claim type, and the file check makes sure each one has a cancellation reason.
What about plan-managed participants?
Their lines are invoiced to the plan manager instead of going into the NDIA file. Self-managed lines are invoiced to the participant.
Will this stop every rejected claim?
No software can promise that, because the NDIA also checks against the participant's plan. What it does is catch common file and billing mistakes before the file leaves your hands.
